Thank you for becoming a VIP Golf Member. The following terms and conditions (hereinafter “all rules and regulation” or “Rules”) apply to all VIP Golf Members. By gaining access to, using this site, creating a new account with VIP Golf or renewing an existing account, you agree to be bound by all Terms and Conditions of the VIP Golf Membership. VIP Golf reserves the right to revise or change the program or Membership Rules at any time and without notice to you by posting updated text on this site. You are responsible for periodically visiting this site to view any changes. By your continued participation and purchase in the Membership program, you are here by deemed to accept any change or update to the VIP Golf Membership.
As a VIP Golf Member, it is up to you to provide authentic and up-to-date information on your personal account. You can update your account anytime by logging into your MEMBER DASHBOARD and selecting EDIT MY PROFILE. As notifications, confirmations and specials are sent via email and inquiries to bookings are made via telephone, we rely on you to ensure that you can receive these emails and/or be contacted by having the proper information on your account. The full name on your account must correspond with the valid photo identification card you will be showing the golf courses when redeeming the VIP Golf Preferred Green Fees you have booked.
BOOKING TEE TIME SLOTS WITH VIP GOLF
It is mandatory that you go online or call VIP Golf to book your slot before checking in for a tee time at the golf course. If you fail to perform this step the golf course will not have authorization from us and you will be asked to pay for a regular rate green fee when checking in. Slot reservations with VIP Golf are not accepted via email or text message, they must be called in or booked online. It is also advisable to book your slot with VIP Golf before you book your tee time with the golf course as stated in our booking procedures.
BOOKING TEE TIMES WITH A GOLF COURSE
You are booking tee times directly with the golf courses as a public player. Normal booking rules will apply to all Members, this includes leaving a credit card with the course at time of booking to secure your tee time if they require one. If you refuse to follow the golf courses policies on publicly booked tee times you may be denied a tee time from the course when booking.
SLOT RESERVATION OR “HOLDING A SLOT”
Holding a slot with VIP Golf does not guarantee a tee time at the golf course. Holding a slot simply gives you the benefit of the Membership at the course in question on the specific day that it has been held. Tee times must be made directly with the golf course. Holding a slot gives you the authority from VIP Golf to use your Membership on the day and course in question, provided you are in compliance with any booking guideline that may be applicable to that specific booking. Once a slot is reserved, you are scheduled to be billed and will be billed if proper cancellation procedures have not been followed. If you receive a complimentary round from the golf course or your round is being purchased by an outside source, you must contact VIP Golf Admin before you tee off to request a cancellation of your reservation. This cancellation request may be denied by VIP Golf Admin if the slots you have occupied cannot be filled by other Members. Slot reservations with VIP Golf are not accepted via email or text message, they must be called in or booked online.
If a holiday falls on a weekday, VIP Golf’s preferred rate will reflect the course in question’s weekend rates. If it is a holiday, weekend/holiday rates will be in effect even though it falls on a weekday.
VIP GOLF SLOT CANCELLATION POLICY:
Slot cancellations must be made no later than 5:00pm one(1) day prior to the booking. For example: To cancel a Thursday reservation one MUST phone or cancel online with VIP Golf before 5:00pm Wednesday evening. Any cancellation made after 5:00pm the day prior to the booking will be considered a Late Cancellation. All Late Cancellations will automatically be charged a Cancellation Fee (50% of the VIP Preferred Green Fee rate in question). The cancellation will be sent to VIP Golf Administration for review and may be subject to a charge of the remaining 50% of the VIP Preferred Green Fee. Cancellations with VIP Golf are not accepted via email or text message, they must be called in or cancelled online. Cancelling a slot with VIP Golf does not cancel your tee time at the golf course. Both the course and VIP Golf must be contacted to cancel the tee time and slot in question as VIP Golf does not handle the booking or cancellations of any actual tee times. To avoid any inadvertent charges, check your email for the cancellation confirmation email that will automatically be sent to the email address you have provided.
ONLINE BOOKINGS / BOOKING FOR FRIENDS:
Any Member booking with VIP Golf though our online booking program will be responsible for any bookings for themselves and any other Members they choose to book for. If you make the booking for yourself and/or other VIP Golf Member(s), you will be responsible for this booking in the case of any discrepancy brought forward by any other Member who you have booked for. This includes being responsible for no shows, booking the wrong golf course, booking the wrong date, double bookings, cancellations and holding a slot with VIP Golf. If a discrepancy is brought forward, the Member who has made the booking(s) shall be responsible for the amount of the booking in question and will be charged accordingly. It is the Member’s responsibility to make sure the booking has gone through correctly and is booked for the right course and date, which is displayed at all times on the Members dashboard in the online booking calendar profile.
TEE TIMES DO NOT GUARANTEE SLOTS
If you have booked a tee time or are joining a group with a tee time booked already, this does not guarantee you a slot with VIP Golf at that course on the day in question. VIP Golf is separate from the courses and allocates so many players per day at each course, you can view how many “slots” are available at anytime online when logged in. Once our limit is reached the course will be closed for the day in question, unless a cancellation is made in which case the course “slots” will open up again. It is advisable to go online or call VIP Golf first before making a time to see what remains at each course on the day in question.
VIP Golf Membership cards are equipped with your name and personal ID number. The cards can be viewed and/or printed by clicking the “VIEW OR PRINT MEMBERSHIP CARD” tab in the Member Dashboard Main Menu. VIP Golf no longer issues Membership Cards for we have gone paperless. You must have valid photo ID as you will be asked to show identification when checking in for tee times. If you are unable to prove your identity, you may be denied access to the benefits associated with the Membership. All Members are required to be present when checking in for tee times at the golf course. These Membership cards are NON-TRANSFERABLE and are only valid for the individual whose name appears on it.
WEATHER RELATED CANCELLATIONS:
VIP Golf accepts cancellations for weather conditions based on the golf course in question. Cancellations will be accepted if the golf course is accepting them. If the golf course is not accepting cancellations due to weather at the time requested, the VIP Green fee will be charged to the Member’s account. All and any weather related cancellations must be made BEFORE YOU TEE OFF. Once you have teed off your first hole, the entire round is considered to have been played and the Member’s account will be charged for the VIP green fee. If the golf course is closed due to weather or for any reason you will not be billed. To avoid any accidental charges, please call us if the course is closed as we may not be aware of the closure. This does not pertain to any Member who has already teed off. If the course decides to close after your round is already in progress the Member’s account will be charged for the preferred rate for that course. Cancellations with VIP Golf are not accepted via email or text message, they must be called in or cancelled online.
VIP Golf does not issue rain checks. Once you tee off the round is considered played. NO EXCEPTIONS. This includes any stoppage of play after you have teed off and includes any sort of delays or closures due to weather related or other scenarios such as lightning, snow, wind, hail, sleet, standing water, slow play, bugs etc. In such cases you may check with the golf course, as some may offer a rain check, however, they are not bound by VIP Golf or any other entity to do so. This is a policy that is strictly enforced and is the Member’s responsibility to know, you are in sense purchasing a sale priced item with a no refund policy.
If you make a tee time with a golf course plus hold a slot with VIP Golf and fail to show up without prior notification, you may be charged by both the golf course and VIP Golf for the booking in question. In this case you have two separate bookings with two companies. You would be holding a slot with VIP Golf that could be sold to another Member and you would be occupying a tee time at the golf course which may be sold by them to other patrons. If you NO SHOW for a tee time you have made as a VIP Golf Member in the golf course in question’s system, the course may charge us at VIP Golf for the NO SHOW. In this case VIP Golf will charge the Member’s account in question for the amount of the NO SHOW charge.
GREEN FEE REFUNDS:
In the case of a slot which has been booked improperly or falls inside our cancellation period and is deemed by VIP Golf administration to be refunded, the value of the charge will be refunded in the form of a golf credit. The credit value will be placed on the Member in question’s account and will be applied to their next charge(s) or green fees(s) with VIP Golf until used up. Green Fee Credits are non-transferable. A $10.00 administration fee will be deducted from the green if a credit card refund is requested.
GREEN FEE CERTIFICATE & PREPAID GREEN FEE CREDITS
Any Green Fee Credit that has been applied to Member accounts may only be used toward purchases of VIP Golf Preferred Green Fees or Membership Dues. The Green Fee Credit will automatically be used toward Preferred Green Fees or Membership Dues until used up. The remaining balance will be charged to the credit card on file. Any Prepaid Cash Credit purchased as a special offer or as a prepaid Preferred Payment may only be used towards purchases offered through VIP Golf Inc. Green Fee Certificates & Prepaid Cash Credits are non-transferable and non-refundable. Once credit is applied to an account it does not expire and may be used while there is a standing balance. Former Members with a credit balance that do not renew their Membership may continue to use their credit toward green fees at VIP Golf’s partnered courses when booked by VIP Golf Administration. These former Members will be charged the regular rack rate green fee of the course in question at the time of play.
BOOKING TEE TIMES WITHIN ALLOWED PARAMETERS:
Some golf courses have a maximum amount of days in which VIP Golf Members may book tee times. This applies to all bookings made by VIP Golf Members or non-Members. If you have a tee time that has been booked with a course or you are joining a tee times that has been booked outside of the allowed advanced booking days, you will be required to pay full rate at check in by the golf course. You will also incur a charge from VIP Golf for the slot occupied by your Membership. All these policies are clearly stated on this website and inside the online booking program, which will require you to check a disclaimer of this policy at the time of booking. Continued violations of this policy will result in immediate termination of Membership with no refund.
All VIP Golf Members are responsible to know and abide by all golf course “Code of Conduct” and general course etiquette which includes acts such as raking traps after use, replace divots on tees, in fairways and in the rough, repair all ball marks on greens, place waste in containers provided on the course, allow faster groups to play through, keeping all carts on pathways around greens and tees, keeping carts out of naturalized and fescue areas, following proper dress code, the abuse of drugs or alcohol, the abuse of golf course employees. Any VIP Golf Member found to be in violation of a courses code of conduct may be stripped of their playing privileges based on VIP Golf administration review. VIP Golf reserves the right for any reason whatsoever to terminate the Membership of an individual or group of VIP Golf Members who we deemed have preformed acts that are unbecoming of a Member.
DAMAGE TO GOLF COURSE PROPERTY:
VIP Golf reserves the right to charge any Members payment method on file for damage caused to golf course property while said Member was on venue property representing VIP Golf. This damage, weather it be caused by a deliberate, negligent or reckless act of the guest, to the golf courses property will be reported to VIP Golf by the venue in question. VIP Golf will be responsible for payment of any damage caused and will in turn charge said Member for the amount in question that has been billed to VIP Golf Inc. If there is a dispute in a damaged property charge, the Member may take this up with the golf course in question, VIP Golf is simply passing on any direct damage charge from the venue in question to the VIP Golf Member said to be responsible for damage caused.
The Membership Agreement between a Member and VIP Golf is on a yearly basis, based on a calendar year from January 1st to December 31st. All Memberships expire on December 31st regardless of time of purchase. Members are entitled to renew their Membership at a promotional rate to be set by VIP Golf. The Member is responsible for paying annual Membership Dues according to the then-current terms of the VIP Golf program unless and until this agreement is cancelled in accordance with the terms hereof, Members hereby authorize the site or its billing agent, to charge Member’s credit card (or other approved facility) to pay for the ongoing cost of Membership. Membership Dues are billed to all VIP Golf Members in accordance to bookings made by the individual.
Annual Membership Dues are automatically renewed, and therefore automatically billed to the preferred payment on the Member’s account at the end of the original term selected, for a like period of time, unless proper notice is received from the Member prior to renewal. Annual Memberships will automatically be renewed if continually used after the term of the preceding Membership agreement has ended, such as a month to month or a specific time period agreed with VIP golf. Trial Memberships are automatically renewed to a one-year Membership at the then-applicable annual rate. Your VIP Golf Membership will automatically be renewed at the promotional rate set by VIP Golf on November 15th of each year. Four(4) Membership Renewal Notices will be emailed one(1) month prior to processing. All VIP Golf Members are on the Membership Renewal Notice mailing list until they have cancelled or specified their renewal. If at any time you wish to cancel your renewal, you may do so at any time prior to the renewal date. Cancellation requests must be submitted through this website. All Membership Refunds will be subject to a 10% administration fee that will be deducted from the Membership rate if the cancellation is not submitted before the scheduled November 15th Auto-Renewal.
VIP Golf offers a Savings Guarantee in which we offer you a credit in the event that you do not at least break even in savings compared to what you paid for the previous season’s Membership Dues. The Membership savings are accumulated on green fees and Membership Dues for the specific year in question. Savings on green fees are calculated by our rate charged compared to the regular rack rate charged by the golf course in question. This applies to all rounds played and will not be adjusted for special price events held by any course such as a twilight round or reduced pricing due to course factors. Savings on Memberships are based on the regular full rate of the Membership for the year in question compared to the price that was paid. In the event that your savings do not at least cover the cost paid for the Membership, you must contact VIP Golf Administration (email@example.com) to apply for the Savings Guarantee credit. All Savings Guarantee applications must be submitted by June 1st or before you book any green fees through VIP Golf during your most current Membership period. If you are eligible and qualify, VIP Golf will place a golf credit on your account up to a maximum of $200.00 in which will be applied to the most current Membership period’s golf green fees. This credit will be applied to the first round(s) played until used. This Savings Guarantee is only eligible for Members who participate in the “November 15th Auto-Renewal”, if you choose not to participate in this renewal, your account will reset and this offer will not be available if you choose to renew at a later date. Corporate guest or client accounts do not qualify for this guarantee as these are interchangeable accounts that allow different individuals to accompany the primary card holder. Any credit accumulated from this guarantee will expire at the end of each season, is only valid for green fees of the consecutive year and may not be used for Membership Dues.
VIP Golf offers a Membership Roll-Over in which your Membership Dues would be carried over to the following season if you were unable to utilize your VIP Golf Membership as a result to physical or mental health. If this is the case, you must contact VIP Golf Administration (firstname.lastname@example.org) to apply for the Membership Roll-Over. All Membership Roll-Over applications must be submitted through the form provided by VIP Golf Administration and may require legal documentation of the injury. If you qualify, your Membership will be rolled into the following season and your account will incur a $50.00 processing fee. Membership Roll-Overs are only available if the Membership you wish to carry over has not been used. If the Membership has been used for any type of booking, the Membership Roll-Over will not be available and the Member will be directed to our Saving Guarantee program.
MEMBERSHIP REFUND POLICY:
VIP Golf will refund any Membership before March 1st of each calendar year provided the Membership has not been used. Once the Membership has been used it will be considered active and no refund will be given. If your Membership has been renewed on the November 15th renewal date, you will have until March 1st of the following year to request a refund. All Membership Refunds will be subject to a 10% administration fee that will be deducted from the Membership rate. Refunds requested after the March 1st deadline will also be subject to late cancellation fees.
MEMBERSHIP CANCELLATION FEES:
Memberships may be cancelled for a refund any time before March 1st of the current calendar year for Membership in question. Memberships that are requested to be cancelled after this date will be subject to the following refundable schedule. Refunds requested after March 1st will receive a 75 percent refund of the total price paid. Refunds requested after April 1st will receive a 50 percent refund of the total price paid. Refunds requested after May 1st will receive a 25 percent refund of the total price paid. Any Membership requested to be refunded after June 1st will not be eligible for any refund however will still be eligible for our “Savings Guarantee”.
FREE TRIAL MEMBERSHIP
From time to time VIP Golf may offer a numbered day “Free Trial” or “DEMO” of the Membership. “Free Trial” or “DEMO” refers to Membership Dues only. Any individual who partakes in a trial will be required to pay the Preferred Green Fee rates for any golf played using the VIP Golf Membership during this trial period. A credit card must be supplied by the said individual for VIP Golf Member Green Fees to be charged as per regular charging policies. VIP Golf holds the right to discontinue any trial at any time and holds the right to terminate an individual’s trial at any time if VIP Golf administration feels they are not adhering to VIP Golf Member policies. After a trial period is over the individual is not obligated to continue on as a paid Member.
By joining or “becoming a Member” of VIP Golf, you agree from time to time receive promotional material via email. Email addresses that are provided to us by Members may be used to send this material to even after a Member has discontinued use of the Membership program. Our promotional emails always have an option to unsubscribe. If you wish to not receive this promotional material. Email addresses are kept private along with all Member information.
PREFERRED GREEN FEE RATES:
The preferred green fee that you receive from VIP Golf as a Member are set by VIP Golf. VIP Golf reserves the right to change these fees or benefits included with them at any time without notice to you by posting any changes on this site. Green Fees will never be intentionally set to $0.00. All $0.00 Green Fees will be adjusted to the original intended rate if this clerical error happens to occur. We insist that you contact VIP Golf Administration immediately if you receive a $0.00 Green Fee Rate confirmation to avoid postdated billings. Green Fees and Savings are calculated by our rate charged compared to the regular rack rate posted & charged by the golf course in question, this applies to all rounds played and will not be adjusted for special price events held by any course such as a twilight round or reduced pricing due to course factors. Final authority on any discrepancies regarding VIP Golf preferred green fee rates will lie with VIP Golf administration.
PREFERRED GREEN FEE SPECIAL PROMOTIONAL OFFERS
From time to time VIP Golf will offer special promotional rates at specific golf courses for specific times. These promotional rates do not qualify for any weather related cancellations, if the course is open the promotional rate will be charged to the Members account once it has been booked. Rain or Shine.
MEMBER ACCOUNTS AND PAYMENTS:
All green fees are collected by VIP Golf. Your account will be charged for the preferred rate at the time of play. You will not be required to pay for green fees in the pro shop unless otherwise specified or you have not followed proper booking procedures. Accounts can be settled with Visa, MasterCard or a cash account. Payments by Visa or MasterCard will be charged to your account within 24 hours of play and will show up on your credit card statement as “VIP Golf Banff”. Any charges to your statement which do not show up as “VIP Golf Banff” do not reflect charges to you from VIP Golf but rather purchases that you have made directly with the golf course in question. Payments by “cash accounts” will be deducted from your “cash account” the day after you play. You may check your balance at anytime by logging into your MEMBER DASHBOARD under MY PROFILE. Cash accounts must have at least an equal or greater value then the preferred green fee that will be charged to your account at the time of booking.
Any overdue accounts will be DE-activated until the balance is cleared. If for some reason the credit card on file is declined for a transaction, you will receive instant notification via email. Please call us to update or clear your balance so we may RE-activate your account. VIP Golf will not know the reason for any declined transaction; this is only relayed information from your carrier. Accounts going into negative balances 3 times or more during the season will require payment in advance for any bookings made.
